Essential Responsibilities:

  • Accounting Management:

    • Oversee daily accounting operations, including cash flow management, payroll, accounts payable (AP), accounts receivable (AR), banking, and expense accounting.

    • Ensure the timely collection of funds due to the company while monitoring deviations from credit standards.

    • Guarantee accurate invoicing and manage cash application processes, ensuring all receipts are applied correctly.

    • Offer insights and recommendations to improve our invoicing, cash handling, and collection procedures, helping us maintain financial excellence.

    • Generate weekly reports on invoicing totals, aging totals, cash receipts, and adjustments to keep our financial pulse strong.

    • Lead monthly and annual close procedures, preparing and reviewing reconciliations to ensure everything aligns perfectly.

  • Human Resources Management:

    • Manage all HR functions, including onboarding staff, health insurance enrollment, and 401K administration, ensuring a supportive environment for our team.

    • Communicate regularly with the Controller, escalating issues as needed to keep operations running smoothly.

    • Cultivate a customer-service-oriented approach within the accounting team, aligning with our company values.

  • Collaboration and Oversight:

    • Work closely with the AP team to ensure timely payments and closure of accounts.

    • Review recurring payments for accuracy, ensuring that all financial commitments are met on time.

    • Analyze AP aging for issues and errors on a monthly basis, maintaining our reputation for reliability.

    • Oversee weekly check runs to ensure accuracy and timeliness, contributing to our operational excellence.

    • Embrace additional responsibilities as needed to facilitate smooth business operations in our fast-paced environment.

Qualifications & Requirements:

  • Bachelor’s degree in Accounting or Finance (preferred).

  • Proficient in QuickBooks Accounting or similar software.

  • Strong Microsoft Excel skills are essential.

  • Experience with Bill.com and Swizznet is a plus.

  • Excellent written and verbal communication skills, with a friendly and approachable demeanor.

  • Previous experience in a family-run or close-knit company is advantageous.

  • Managerial skills and experience are a must, as is a proactive approach to problem-solving.

  • 7 to 10 years of experience in accounting, financial budgeting, statements, and auditing, preferably within a small to medium-sized company.

Accounting & HR Manager

Registration Coordinator

This position requires both domestic and international travel (15-20%) throughout the year, so a valid passport is required. The ideal candidate would be located in the San Francisco Bay Area. Any event experience in a Registration Department or third-party meeting and incentive company is preferred but not required.

Job Responsibilities (include but not limited to):

  • The ability to multi-task multiple programs and clients, and pivot at any given day, at any given moment

  • The ability to understand a project from start to finish and contribute to the overall success of each program

  • The ability to work on a project both individually and collaborate as a team

  • The ability to communicate to program attendees, suppliers, and colleagues in a clear, precise, and detailed manner

  • Follow-up and acknowledgment of tasks, deadlines, and due dates

  • Assist in program detailing

  • Ability to create correspondence such as emails, texts, reporting, and various other types of client communication

  • Field questions from attendees and executives to update their registration profile from the beginning of registration to the program's conclusion

  • Monitor all program registrations, multiple email inboxes and guest requests

  • Identify travel parameters, perform QC (quality check) processes on arranged air travel, and serve as a liaison between the air team, the client, and MFactor

  • Manage all aspects of the hotel room block management including but not limited to attrition, pre/post extensions, budgeting, and accommodations

  • Assist with planning offsite events, creating and sending clear communications, collateral, ordering and receiving

  • Work closely with MFactor team, clients and vendors

  • Coordinate program collateral, special touches, and custom details

  • Follow, manage, and contribute to the registration process and timelines

  • Ability to keep detailed notes during internal and client meetings for later reference

  • The ability for growth, and willingness to learn

  • Partnership with all program elements as you will touch every program

  • Organization! Managing multiple priorities at once, multi-tasking, pivoting and adapting to change. You have exceptional problem-solving and troubleshooting skills while maintaining a calm collected composure under pressure

  • Providing superior customer service with on-time delivery

  • Bachelor’s degree preferred, not required’s degree in Accounting or Finance (preferred).
